Job Description
Our client, an online certified company in Galway are looking to recruit a HR Officer for their site on a permanent contract.
Duties and Responsibilities:
- Implement and maintain administration processes necessary to support the business
- Ensure all documentation is maintained up to date and in a timely manner
- Identify updates or improvements to existing standard forms and documentation
- System and filing audits
- Ensure that all filing is completed in a timely and organised manner
- Ensure all employee requests are actioned in a timely manner
- Perform full scope of new hire on-boarding process
- Prepare all necessary documents and contracts for new hires
- Provide full induction training
- Provide administrative and first contact support to all the new hires
- Ensure all documentation is prepared in a timely manner and all systems are up to date
- Perform full scope of off-boarding process for any employees leaving the company
- Complete all administrative tasks
- Issue exit interview and action any necessary follow up
- Provide support on the employee's last day
- Organising and scheduling of interviews
- Booking rooms
- Liaising with recruiters and candidates
- Shortlisting candidates
- Regretting candidates
- Other recruitment administration
- Attend meetings and record minutes, maintain and distribute action items for follow-up
- Administer HR-related documentation
- Take part in HR projects (e.g. employee survey; employee of the month and newsletter etc.)
- Ensure the relevant databases are up to date and accurate
- Provide information and answers questions on routine HR and recruitment matters
- Ensure telephone and email enquiries are dealt with to a high professional standard
- Observe strict compliance protecting confidential, sensitive information and materials
- Take queries in the absence of other members of the HR team
- Organise meetings and other ad-hoc requirements (including booking rooms, arranging refreshment etc.)
- Assist the finance department
- Accomplish other duties, as required.
Skills Profile & Educational Requirements
- Strong interpersonal and organisation skills
- Good knowledge of employment law and HR policy & procedure
- Minimum of 3 years' experience in a similar role
- Bachelor's Degree, Diploma in HR or equivalent
- Proficient in Microsoft Outlook, PowerPoint, Excel and Word
- Ability to multi-task and work to tight deadlines
- The ability to be flexible and adaptable when required
- The ability to work on own initiative with sound judgment
- Developed discretionary and sensitivity skills
- CIPD qualification is desirable
